What is an AI appointment booking chatbot?
It is an AI employee — an AI agent trained on your business's own information — that chats with your customers, offers them the times you have free and books the appointment in your calendar. It works on your website, through a QR code at the front desk or through a link you share wherever you like.
Setting up an appointment by message takes a lot of back and forth: which service, which day, what time, whether that slot is free, under whose name. Your AI employee handles that whole conversation, checks your calendar on the spot and books the slot, without you having to stop what you are doing.
How it works
- Create your AI employee and tell it about your services, their length and your hours (with your website, a PDF or some text).
- Connect Google Calendar from your dashboard (on the Pro plan and up).
- When a customer wants an appointment, your AI employee checks your busy times and offers the free ones.
- With the service, the name and a way to reach them, it books the appointment and confirms the day and time in the chat.
You set the rules in plain language: which services can be booked through the chat, how long each one takes, which days you work and what details it must collect before booking. If they change, you tell your AI employee and it answers with the new information from then on.
The customer gets the confirmation in the same conversation, with the day and time, and the appointment shows up in your calendar with a Google Meet link, in case the meeting is online. You do not have to copy anything by hand or move the booking from one place to another.
What it sees in your calendar
Only when you are busy: it checks the busy times in your primary calendar and in the bookings calendar, with no titles and no guests. Bookings are saved in a calendar called DiAgent inside your Google account, which you see alongside your other calendars, and every appointment comes with its own Google Meet link.
Your personal schedule stays private: your AI employee knows you are busy Tuesday at ten, but not with what or with whom. And because bookings live in a calendar of their own, you can tell them apart at a glance and show or hide them like any other calendar.

If you have not connected a calendar yet
The Bookings & Appointments template works on every plan: with no calendar connected, your AI employee takes the request with the service, the day and time, the name and the contact details, says you will confirm, and never promises a slot. That request is left for you to confirm.

Cancellations and time changes
With Google Calendar your AI employee books appointments; it does not cancel or move them. If you want customers to be able to cancel or reschedule from the chat, connect Calendly, also on the Pro plan and up.
If a customer needs to change a booked appointment and you do not use Calendly, they can ask to talk to a person: you get an email with their name, email address and message, and you sort it out from your calendar, the way you do today.
